RentalCue Privacy Policy

RentalCue (“RentalCue,” “we,” “us,” or “our”) provides browser-based software for small party and event equipment rental businesses.

This Privacy Policy explains what information we collect, how we use it, where it may be processed, and the choices available to you when you purchase or use RentalCue.

1. Information We Collect

Purchase and account-related information

When you purchase RentalCue or activate a license, we may receive or process information such as:

your purchase email address;
payment and transaction identifiers;
license key and license status;
device activation information;
refund, dispute, and payment status information;
support correspondence you send to us.

We do not normally receive or store your full payment card number. Payment information is processed by our payment provider, Stripe.

Technical information

When you access RentalCue or our website, technical information may be processed automatically by our hosting and infrastructure providers. This may include:

IP address;
browser type and version;
device or operating-system information;
request timestamps;
URLs requested;
security and diagnostic information.

2. Rental Business Data Stored in Your Browser

RentalCue is designed so that your ordinary business records, including information entered into features such as:

Inventory;
Customers;
Bookings;
Calendar-related records;

are primarily stored locally in your web browser.

Under normal use, RentalCue does not intentionally upload the contents of these business records to our licensing systems.

Because this information is stored in your browser, you are responsible for maintaining appropriate backups using RentalCue's backup features.

Deleting browser data, resetting your browser, changing devices, or experiencing device failure may result in loss of locally stored data if no backup is available.

3. How We Use Information

We use personal information only as reasonably necessary to:

process purchases and confirm payment;
issue and manage RentalCue licenses;
activate and manage authorized devices;
detect duplicate, fraudulent, disputed, or refunded transactions;
send license and transactional emails;
provide customer support;
diagnose technical and security problems;
protect RentalCue and its users from abuse or unauthorized access;
maintain records required for accounting, tax, legal, or regulatory purposes;
comply with applicable law and lawful requests.

We do not sell personal information.

We do not use customer information for third-party advertising.

4. Payment Processing — Stripe

RentalCue uses Stripe to process payments.

Stripe may collect and process information necessary to complete a transaction, including payment details, billing information, device information, transaction data, and fraud-prevention information.

Stripe processes payment information under its own privacy terms.

RentalCue generally receives only the information required to verify a purchase, administer a license, handle refunds or disputes, and provide support.

5. Hosting and Infrastructure — Cloudflare

RentalCue uses Cloudflare services for hosting, application delivery, database infrastructure, security, and related technical functions.

Cloudflare may process technical information such as IP addresses, request information, security signals, and network logs in connection with providing these services.

6. Transactional Email — Resend

RentalCue uses Resend to deliver transactional emails, including license-related messages.

Information processed through Resend may include:

recipient email address;
email metadata;
message content;
delivery status and related technical information.

RentalCue does not currently use license emails for third-party advertising.

7. Device Activation Information

A RentalCue license may be activated on a limited number of devices.

To enforce the license terms and prevent unauthorized use, we may process information necessary to distinguish and manage activated devices.

Device activation information is used for licensing and security purposes and is not used for advertising.

8. Legal Bases Where Applicable

Where data-protection laws require a legal basis for processing, we may rely on:

performance of a contract, such as processing your purchase and providing your license;
legitimate interests, such as fraud prevention, service security, and support;
compliance with legal obligations;
consent, where consent is specifically required by applicable law.

9. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including:

maintaining and administering a purchased license;
responding to support requests;
processing refunds and disputes;
complying with accounting, tax, legal, and regulatory obligations;

Different categories of information may be retained for different periods.

Data held by third-party service providers may also be subject to their own retention policies.

10. International Data Processing

RentalCue is operated from Japan.

Our service providers, including Stripe, Cloudflare, and Resend, may process information in countries outside Japan or outside your country of residence.

When required by applicable law, appropriate safeguards may be used for international transfers of personal information.

11. Security

We use reasonable technical and organizational measures designed to protect information handled through RentalCue.

These measures include, where applicable:

encrypted HTTPS connections;
restricted access to production systems;
separate Sandbox and Production environments;
storage of service credentials as protected secrets rather than public source code;
payment processing through Stripe rather than direct storage of full card information;
license verification and device-activation controls.

No online service can guarantee absolute security.

12. Your Rights

Depending on where you live, you may have rights regarding your personal information, including rights to:

request access to information we hold about you;
request correction of inaccurate information;
request deletion where legally applicable;
object to or restrict certain processing;
request information about how your data is used;
withdraw consent where processing is based on consent;
lodge a complaint with an applicable data-protection authority.

13. Children

RentalCue is a business software product and is not intended for use by children.

We do not knowingly market RentalCue to children.

14. Cookies and Browser Storage

RentalCue may use browser storage or strictly necessary session mechanisms required for licensing, authentication, application state, and local data storage.

RentalCue does not currently use third-party advertising cookies.

If analytics, advertising, or other non-essential tracking technologies are added in the future, this Policy and any required consent mechanisms will be updated before such technologies are used.

15. Third-Party Services

RentalCue currently relies on third-party service providers including:

Stripe — payment processing;
Cloudflare — hosting, infrastructure, security, and database services;
Resend — transactional email delivery.

These providers may process personal information under their own privacy policies and service terms.

We may update this Privacy Policy when RentalCue, applicable law, or our service providers change.

The current version will be published on the RentalCue website with an updated effective date.
